Our client is a leading, global beauty brand and is looking to hire an experienced Executive Assistant. He or she will be responsible for providing executive support to the VP of Creative as well as the creative team. This is a great opportunity for a candidate who has experience working in or an interest in the beauty industry, and the ability and desire to succeed in a fast paced, creative environment.

Responsibilities:

  • Provide executive administrative support for the VP including, but not limited to calendar management, travel coordination, expenses, and communications on behalf of the creative department
  • Maintain accurate, detailed excel database for all creative projects across Campaign, Packaging and Digital
  • Establish, maintain and complete all creative purchase requisitions using SAP
  • Provide financial status reports as needed
  • Create and manage all new freelancer and creative vendor setups
  • Act as the primary liaison for all PO and setup related items with vendors, AP, Procurement and Finance teams to process and ensure payments
  • Provide scheduling, calendar, and expense management for the Creative Director
  • Coordinate travel arrangements
  • Prepare correspondence including letters, emails and meeting notes
  • Ad hoc projects to the creative department (10-15 people) as needed

Requirements:

  • This role requires a solid track record performing administrative support for a C Level individual
  • The successful candidate should possess independent judgment, critical thinking and strict adherence to confidentiality
  • He or she should have the ability to multi task and switch projects seamlessly
  • A poised and professional demeanor with the utmost discretion is required
  • Excellent communication skills, both written and spoken are needed
  • The ability to work in a fast paced, high pressure environment is required
  • Extremely proficient in metrics, calculations and a strong working knowledge of Excel is needed
